We are looking for a professional and welcoming Receptionist to join our team in Dubai. Receptionist Responsibilities:
- Call Management: Answer incoming telephone calls, identify callers’ needs, and direct them to the appropriate personnel or department.
- Message Handling: Deliver and transfer messages to employees or voicemail when the appropriate personnel are unavailable.
- Visitor Hospitality: Welcome and guide visitors and guests, ensuring a warm and professional reception.
- Security Compliance: Ensure that only authorized individuals enter the office, maintaining a secure environment.
- Information Provision: Respond to inquiries about the clinic, providing callers with addresses, directions, and other necessary information.
Administrative Responsibilities:
- Resource Maintenance: Keep an updated personal copy of the staff directory and other resources to ensure accurate information distribution.
- Emergency Contacts: Maintain all emergency contacts and communicate with them during emergencies and non-emergencies as needed.
- Courier Management: Manage incoming couriers for all departments, ensuring efficient distribution.
- Office Maintenance: Ensure the reception area and meeting rooms are safe, clean, and equipped with the necessary stationery and equipment.
- Administrative Support: Perform various administrative duties such as typing, faxing, copying, and filing documents as required.
- Event Coordination: Supervise catering arrangements and setups during workshops and meetings.
Communication and Reporting:
- Reporting: Report to the Manager, Administration, on all telephone calls and inquiries about the clinic.
- Collaboration: Maintain and exhibit excellent working relationships with all Opisok staff and external parties.
Required Minimum Qualification & Experience:
- Education: Bachelor’s degree or diploma in any field.
- Experience: 1 to 2 years of experience in a similar role.
